Cancellation Policy

We understand that travel plans can change. This Cancellation Policy outlines the refund eligibility and notification windows for car rentals and guided tour bookings with Rwanda Drive & Tours.

1. Car Rental Cancellations (Self-Drive & Chauffeur)

Cancellations for car rental reservations are subject to the following refund schedules:

• More than 7 days prior to pickup: Full refund of any advance payments, minus a minor transaction administrative fee.
• Between 48 hours and 7 days prior to pickup: Eligible for a 50% refund, or a 100% booking credit note valid for 12 months.
• Less than 48 hours or No Show: No refund is available.

2. Guided Tour & Safari Package Cancellations

Because safaris, hotel bookings, and national park activities involve pre-paid third-party costs, the following conditions apply:

• More than 30 days prior to tour start: Eligible for a 80% refund of the total tour cost (excluding permit costs).
• Between 14 and 30 days prior to tour start: Eligible for a 50% refund of the total tour cost (excluding permit costs).
• Less than 14 days prior to tour start: No refund is available.

3. Gorilla & Chimpanzee Trekking Permits

Please note that mountain gorilla trekking permits and chimpanzee tracking permits are issued by the Rwanda Development Board (RDB). Once purchased, permits are 100% non-refundable and non-transferable. Any cancellation of a tour package containing permits will exclude the permit fee from the refund calculation regardless of when the cancellation request is submitted.

4. How to Request a Cancellation

All cancellation requests must be submitted in writing via email to info@rwandadriveandtours.com. The cancellation date will be determined by the timestamp the email is received in Kigali time (GMT+2).
